If you are a member of an association, society, network or professional body and would be interested in hosting their annual convention, or you want to deliver a high profile event, symposium or home-grown conference, please contact the Conference and Events team in the first instance. We will make sure you get off to a good start.

University Procedures

To ensure the University utilises space efficiently and maximises opportunities to support additional income generation, a coordinated approach to conferences, meetings and events across Manchester Met is essential to monitor such activities.

Events of various kinds play a key role in the knowledge exchange and research impact agendas, and the University reports on public engagement events in various returns. Information collected from events will inform that return.

The Timetabling, Space Management and Conference policies outline protocols for booking space for non-academic purposes on behalf of external organisations or individuals unless the booking is for an official University committee or a University meeting organised to progress operational or strategic initiatives within the University.

Conferences whereby income and expenditure is managed through Financial and Legal Services or underwritten by the University are booked through the Conference and Events team.    All commercial conferences, meetings and events, including filming enquiries should be directed to and managed by this team. 

Conference Registration is managed by the University’s Conference and Events Department. Financial and Legal Services administer short courses through the On Line Store as well as public engagement events where a charge is applied to cover admission or catering costs.  Eventbrite should only be used for events where no charges apply.  The University does not have a Paypal account/contract and therefore does not interface with Eventbrite for events where charges are applied.   Staff are advised not to use Eventbrite and personal Paypal accounts for University events.

Community engagement events in the first instance should be directed through the University Engagement Team.

The completion of a Meeting, Event and Activity form will need to be completed to request complimentary or subsidised space by a member of staff on behalf of an external organisation.  A member of the University Executive Group will need to approve the form.

Financial Guidelines and Terms and Conditions

There is an expectation that a conference, which Manchester Met is promoting or sponsoring, is held at the University to support its financial sustainability. If the event is too big to hold at Manchester Met or the facilities are not available due to the time of year, then alternative venues in the city will be considered.  The Conference and Events team provide support to source external venues.

If you are running the finances of the conference through FLS, you will be required to complete a Cost Checklist supported by a Business case to demonstrate the financial viability of hosting the event.  You will require both documents to be signed off with the appropriate signatories.  The Conference and Events Organiser and Faculty/Services Accountant will support you with this process. Discounted day delegate dates and meeting room hire will apply.

It is a requirement that all conferences cover direct costs and space charges. The revenue generated for space hire from the day delegate package and additional seminar rooms will be retained by the Faculty to invest in future events or business development. 

Manchester Metropolitan University gives £1 from each conference day delegate rate booking to the Big Change fund. The fund is run by Manchester Homelessness Partnership.  It is Manchester’s alternative giving campaign, which aims to maximise the use of public donations for the benefit of individuals to help address the complicated range of reasons that led to them becoming homeless.

Residential Accommodation will be subject to bespoke Terms and Conditions.

Organising a Residential Summer School

If you are planning to organise a residential summer school at Manchester Met, you will need to flag this with the Conference and Events team at the earliest opportunity to reserve accommodation in the Halls of Residence.  We will provide you with costings and availability and Terms and Conditions will apply. 

Useful information at the time of contact would be the dates of the event, the numbers of bed nights, estimated numbers, age group and catering requirements.   It will also be helpful if you can provide key dates for decision-making and the recruiting process.

Charges may need to be adjusted if bookings do not meet the minimum number of bed nights.
